Refund & Cancellation Policy

This Refund & Cancellation Policy applies to all subscription plans and services offered by Lemaistre Lab Technologies LLP ("Chatref," "we," "us," or "our") through the Chatref platform at https://chatref.ai.

1. Subscription Plans

Chatref offers the following subscription plans:

All paid plans are billed on a recurring basis (monthly or annually) through Razorpay, our authorized payment gateway.


2. Cancellation Policy

2.1 How to Cancel

You may cancel your subscription at any time through your account dashboard at app.chatref.ai by navigating to Settings > Billing > Cancel Subscription.

2.2 Effect of Cancellation

  • Cancellation takes effect immediately upon confirmation.
  • Your workspace will be downgraded to the Free plan (100 messages per month).
  • All your data is preserved — your chatbots, knowledge base, training data, and configurations remain intact.
  • You will not be charged for any subsequent billing cycles after cancellation.
  • You may resubscribe to any paid plan at any time.

2.3 No Partial Billing

We do not provide prorated credits or refunds for the unused portion of a billing cycle upon cancellation. Your paid plan features remain accessible until the end of the current billing period, after which the workspace transitions to the Free plan.


3. Refund Policy

3.1 General Policy

All fees paid for Chatref subscriptions are non-refundable by default. Since Chatref is a digital Software-as-a-Service (SaaS) platform, access is granted immediately upon payment confirmation, and the service is delivered digitally in real time.

3.2 Refund Eligibility

Refunds may be considered on a case-by-case basis under the following circumstances:

  • Duplicate payment — You were charged more than once for the same billing period.
  • Technical failure — A verified platform outage or critical bug prevented you from using the service for a significant portion of your billing period, and the issue was reported to our support team.
  • Unauthorized charge — A charge was made without your authorization (subject to verification).
  • Billing error — An incorrect plan or amount was charged due to a system error.

3.3 Non-Refundable Scenarios

Refunds will not be issued in the following cases:

  • Change of mind after subscribing to a paid plan.
  • Failure to use the service or underutilization of allocated messages.
  • Lack of awareness of auto-renewal (renewal reminders are sent before each billing cycle).
  • Dissatisfaction with features that were clearly described on the pricing page before purchase.
  • Violation of our Terms of Service leading to account suspension or termination.

3.4 How to Request a Refund

To request a refund, email us at [email protected] with the following details:

  1. Your registered email address
  2. Razorpay transaction/payment ID
  3. Date of the charge
  4. Reason for the refund request

3.5 Refund Processing Timeline

  • All refund requests are reviewed within 3-5 business days of submission.
  • Approved refunds are processed within 5-7 business days after approval.
  • Refunds are credited back to the original payment method used during the transaction.
  • You will receive an email confirmation once the refund has been initiated.

4. Free Plan

The Free plan does not involve any charges. No refund applies to the Free plan. You may use the Free plan indefinitely at no cost with 100 messages per month.


5. Plan Upgrades & Downgrades

  • Upgrades take effect immediately, and you will be charged the difference for the remainder of the billing cycle or the full amount for the new plan.
  • Downgrades take effect at the end of the current billing cycle. No refund is issued for the price difference.

6. Annual Subscriptions

If you are on an annual billing cycle:

  • Cancellation stops auto-renewal at the end of the annual period.
  • Refunds for annual subscriptions are evaluated on a case-by-case basis and are generally limited to requests made within 7 days of the initial purchase, provided fewer than 100 messages have been consumed.

7. Chargebacks

If you initiate a chargeback or payment dispute through your bank or payment provider without first contacting us, we reserve the right to suspend your account pending resolution. We encourage you to reach out to [email protected] before filing a dispute so we can resolve the matter directly.


8. Changes to This Policy

We may update this Refund & Cancellation Policy from time to time. Changes will be posted on this page with an updated effective date. Continued use of the service after changes constitutes acceptance of the revised policy.

This policy is governed by the laws of India. Any disputes arising from this policy shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka.
