How can I access important HOA documents?
Your community’s AI assistant gives you instant access to important HOA documents. Ask any question about rules, forms, or records, and the assistant retrieves the exact file from the knowledge base. If a document isn’t available yet, you can request it right inside the chat, and management will upload it within one business day.
How to Search the Knowledge Base
The assistant is trained on all approved HOA files - from CC&Rs and bylaws to meeting minutes and financial reports. To access documents, simply open the chat widget on our website and type a question like "What are the pool hours?" or "Show me the 2026 budget." The AI agent will locate the matching record and either display it directly or offer a download link. There’s no need to browse complex folder structures or remember file names. Every response is grounded in our own files, so you always get the accurate, official version.
Requesting a Document That Isn’t Listed
If you need an HOA record that isn’t in the knowledge base, use the custom action right inside the chat. Type something like "I need the landscape contract" and the assistant will offer a document request form. Fill in the file name and reason, then submit. Our management team reviews requests and uploads additional documents if they are part of community records. This keeps your access documents workflow complete and ensures you can always find important files when you need them.
FAQ
What documents are available to community members?
You can access governing documents (CC&Rs, bylaws, articles of incorporation), rules and regulations, meeting minutes from the last 24 months, annual budgets, financial statements, reserve studies, insurance certificates, architectural guidelines, and common area policies. Some sensitive or legally restricted records may be available upon approval.
How often are documents updated?
All HOA records are updated within three business days after a board vote or formal adoption. Meeting minutes and financial reports are posted no later than five business days after approval. Our knowledge base syncs automatically, so you always see the current version.
Can I request specific documents not listed?
Yes. If a document is not in the assistant, simply ask, and the custom action will let you submit a request. The management team reviews requests and adds any permissible files to the knowledge base. Most requests are fulfilled within 48 hours. If a record cannot be shared due to privacy or legal constraints, you will be notified directly.
